Matside helps wrestling programs run their season: schedules, messaging, attendance, payments and athlete progress. This policy explains what we collect, how we use it, who can see it, and the choices you have. Most athletes on Matside are under 18, so it also explains how we protect minors.
1. What we collect
Account information. Your name, email address, phone number, birthday, username and password, plus a profile photo and gender if you choose to add them. Passwords are stored by our sign-in provider in hashed form; we never see them.
Team and family information. The teams you belong to and your role on each, practice groups, the links between parents or guardians and their children, family contacts you add (name, email and phone), and invitations you send.
What you do in the app. Attendance, technique progress, coach ratings and notes, help requests, levels, stripes and badges, journal entries and goals, sign-up sheet entries and comments, chat messages and images, announcements, and events with the locations you enter.
Payment information. What was charged, the amount, its status, refunds and Square transaction IDs. You enter card details on Square's secure payment page; Matside never receives or stores card numbers. For a Matside Pro subscription bought through the App Store, Google Play or our web checkout, the store processes the payment and we receive the subscription status.
Launch list. If you join our launch list, your email address.
Contact form. If you write to us through our website, your name, email address, the topic you pick and your message. We use them only to reply.
On your device. A few preferences saved on your phone or browser, such as the last team you viewed and your notification settings. If you allow notifications, we store a push-notification token for your device so we can send them.
What we don't collect. Matside does not use your device's location, camera or microphone, and does not use advertising trackers or third-party analytics.
2. How we use it
- To run Matside: your teams, schedules, messages, attendance, progress and payments.
- To send account and team emails, such as invitations, announcements from your coaches, payment notices and sign-in emails.
- To protect minors: age checks, guardian links and the limits described below.
- To keep Matside secure, prevent fraud and abuse, and answer your support requests.
- To meet legal, tax and accounting obligations.
We do not sell your personal information, and we do not use it for targeted advertising.
3. Who can see your information in Matside
- Your teams. Teammates, families and staff on a team see each member's name, profile photo and role. Coaches and managers see what they need to run the team, such as attendance, progress and who has paid.
- Progress. Levels, stripes and earned badges are visible to teammates. Attendance is not shown to other athletes or families.
- Journal. Journal entries and goals are visible only to the athlete who writes them.
- Minors' contact details. A minor's email address and phone number are visible only to the minor and their guardians, never to coaches or other members.
- Family links. Team members can see which parent or guardian is linked to which athlete.
- Across Matside. Your name and profile photo can be seen by other signed-in Matside users. Profile photos are stored at an unlisted web address, so anyone who has that exact link can open the image.
- Matside staff. Authorized Matside staff can access account information to operate and support the service. When staff view the app as a user to troubleshoot, that session is time-limited and logged.
5. Children and teens
Matside asks for a birthday at sign-up and treats accounts differently by age.
- Under 13. Children under 13 can't have a Matside account until we have verifiable parental consent in place. When we do, we'll update this policy and ask a parent for consent before collecting any information about the child. If you believe we have a child's information without that consent, contact us and we'll delete it.
- Ages 13 to 17. A teen's account is linked to a parent or guardian. Until it is linked to a verified adult guardian, chat, payments, sign-ups, the journal and announcements stay locked.
- Accounts a parent creates. A parent can create their child's account, and the child can sign in with a username instead of an email address.
- Parents' rights. A parent or guardian can review and correct their child's information in the app, invite a co-guardian with full or view-only access, and ask us to delete their child's information at any time.
6. How long we keep it
- Chat messages are deleted automatically after 90 days, unless we're legally required to keep them.
- When someone leaves a team, or a team is closed, its records are marked as removed rather than erased, so the team's attendance and payment history stays accurate.
- Payment and subscription records are kept as long as we need them for accounting, tax and legal purposes.
- Launch-list emails are kept until you unsubscribe or ask us to delete them.
- Everything else is kept while your account is active, and deleted after you ask us to delete your account, except what we must keep for legal or safety reasons.
7. Your choices and rights
- Update your profile, photo and contact details in the app at any time, and choose whether your phone number is shown to your team.
- Unsubscribe from launch and product emails with the link in any of them. Emails your coaches send through Matside are part of being on the team.
- Ask for a copy of your information, or for corrections, by emailing privacy@matside.net.
- Delete your account by emailing privacy@matside.net. We'll confirm it's you, or that you're the guardian of a minor's account, before we delete it.
Depending on where you live, including California, you may have additional rights to know, access, correct and delete your information. We honor these requests for everyone, and we won't treat you differently for making one.
8. Security
Information travels to and from Matside over encrypted connections. Our database enforces who can read what, so a coach on one team can't see another team's athletes. Card details stay with Square. No system is perfectly secure, so please use a strong password and tell us right away if you think your account has been compromised.
9. Changes to this policy
If we change this policy, we'll post the new version here with a new effective date. If a change is significant, we'll also tell you by email or in the app before it takes effect.
